About Voices GY

Voices GY is a registered Guyanese non-profit organisation, active since April 2018. Our mission is to strengthen social cohesion, cultural integration and human rights in the country through targeted projects and partnerships. As an organisation, we are founded on a community-based approach towards a more cohesive and inclusive Guyana. Previous projects have included English tuition for migrants and refugees; support through training and grants to migrant entrepreneurs; regional needs assessments on education and social integration; mental health support; social cohesion events; and multimedia productions on minority rights and cultures.

Background

In Voices GY’s first three years as an organisation, we have consistently innovated with online and remote programmes to provide multiple forms of assistance to refugees and migrants. These programmes have become increasingly important with the onset of the COVID-19 pandemic, and have resulted in a sharp increase in the quantity and relevance of our programmes. 

 

For 2021, Voices GY will for the first time operate from an office space in Georgetown with up to seven full-time project staff working to support livelihoods, mental health, language tuition, and cultural exchange for migrants and host communities. Further project areas in human rights and the environment are also expected to take shape over the course of the next 12 months, requiring greater coordination and capacities in our HR and Financial outlook.

About the role

The Administrative Assistant will play an important role in maintaining clarity and transparency in Voices GY’s financial and organisational records. The Assistant will thus continue to uphold our reputation and organisational integrity during an important period of expansion, as well as streamlining our channels of communication, responsibility and interactions with project beneficiaries.

The Administrative Assistant will be responsible for both HR and Financial oversight, and will report to the Project Manager.

 

Duties and Responsibilities

  • Collate, submit and securely maintain invoices from Voices GY’s projects in a punctual and organised manner

  • Assist in the preparation of financial reports for projects and in collaboration with project staff and Voices GY management.

  • To conduct liaison and communication regarding Voices GY’s bank accounts and credit cards.

  • To process local and international staff salary payments in a responsible and punctual manner.

  • To process payments for office rental and utilities.

  • To coordinate external auditing procedures with third party auditors

  • To lead communication with the landlord of the office space and resolve contractual queries.

  • To oversee Voices GY’s physical assets, including materials, office resources and furniture.

  • To assist in the redaction and processing of staff contracts.

  • To provide face-to-face assistance to members of the public (including beneficiaries and interested third parties) who arrive at the office requesting assistance.

  • To process NIS payments and oversee compliance with national financial legislature.

  • Respond to inquiries and messages via the organisational whatsapp and email accounts and effectively redirect and orientate these persons.

  • Assist in other administrative functions as and when the organisation requires.

 

Requirements

  • Education: An undergraduate degree in Accounting, Finance, Business Management, or a related field. 

  • Experience: of at least  +5 years in a similar role 

  • Experience of working in NGOs/International Organizations is a plus

  • Languages: Ability to communicate in spoken and written English and Spanish (B1 level or above)

  • Working ability in the use of Microsoft Office (Word and Excel), Google Drive, Zoom and Whatsapp

  • Strong communication and teamwork skills, punctuality and self-drive
